Overview: 

Groups Recover Together was founded in 2014 to make treatment for opioid addiction respectful, accessible and affordable. We empower our members to regain control of their lives through a combination of community support, outpatient weekly group therapy and medication to manage withdrawal using buprenorphine and naltrexone. 

 
What differentiates Groups is the belief that long-term recovery from opioids is tied to aspects of life that are beyond the reach of traditional medical care. We approach fighting addiction as a team sport and provide each member with a care team that works together to ensure our members receive comprehensive, coordinated care. Our outpatient model is designed to fit into our member’s schedules so they can keep working and living a normal life. As a result, our outcomes reflect the success of our model and the commitment of our members with 74% remaining in treatment after 6 months, 90% attending group therapy each week and 89% abstaining from illicit substances each week. 

 
Groups has grown to become the national leader in value-based care for opioid use disorder that is proven to help our members beat addiction and get their lives back. We have over 8,000 members seen weekly via our fully virtual care model and have physical locations across the country with additional openings planned in 2021. 

Responsibilities: 

At Groups, the Office Manager is at the center of a team of professionals who deliver patient care. The Office Manager is involved in every aspect of the office operations, each day presents a different set of tasks and challenges that require diverse skills to solve. By providing structure for colleagues and members alike, the Office Manager allows everyone to do their part in the treatment process, efficiently and respectfully. In this position, you are responsible for coordinating the client’s experience at Groups from start to finish—and ensuring the experience is efficient, responsive and respectful at every step. To do this, you will bring together medical professionals, counselors and other colleagues who deliver care as a team. 

  • Provide exceptional customer service, in person and by phone, and help members troubleshoot issues that affect their treatment. 

  • Manage members flow in the office, including check-in/out, payment, prescriptions and drug screens. 

  • Coordinate with physicians on scheduling and members needs. 

  • Maintain member information in the EMR. 

  • Oversee day-to-day office operations. 

  • Responsible for overall cleanliness and office appearance. 

  • Responsible for opening and closing a single Groups office. 

  • Welcome everyone into the office and is the first contact for all members and or visitor. 

  • Provide admissions forms to new members arriving for intake appointments. 

  • Confirm insurance eligibility and sign up information at intake and when needed for new members. 

  • Understand members insurance plans to provide guidance to members on network, co-payment, etc. and connect with Care Navigator as needed. 

  • Maintain accurate member insurance/ demographic information in the EMR. 

  • Answer general office level questions from members regarding program concerns, pharmacy issues, and /or other personal needs of the program (if unable to answer questions, will help the member find the correct point of contact). 

  • Manage petty cash fund and help the finance department complete reports on a daily/weekly basis through accurate record keeping. 

  • Complete urine screen process during intake and group. 

  • Responsible for coordinating member pill count. 

  • Performs other duties as assigned. 

Qualifications: 

  • Bachelor’s degree preferred, or 3 years of relevant experience in lieu of degree 

  • Minimum 2 years of experience in an office management role. 

  • Healthcare, retail or hospitality experience preferred. 

  • Fluency with Excel/spreadsheets and Google Apps (Gmail and Google Docs). 

  • This position requires completion of a health questionnaire. 

  • Exceptional written and verbal communication skills. 

  • Ability to multitask and prioritize with minimal supervision. 

  • Strong attention to detail and ability to manage confidential and highly sensitive information. 

  • Ability to problem solve quickly and independently, as needed. 

  • Ability to work with a team as well as an independent contributor. 

  • Exceptional customer service skills and the ability to build positive relationships with people. 

  • Ability to work evenings, as needed.
